Terms of Service

Service: the SPACEWHLE website (spacewhle.org) and the SPACEWHLE Discord bots

These Terms of Service ("Terms") govern your use of the SPACEWHLE website at spacewhle.org, the SPACEWHLE Companion Discord bot, the SPACEWHLE community/attendance bot, and any dashboard, marketplace, or other feature connected to them (collectively, the "Service"). Where a term applies to only one part of the Service, that is stated explicitly; otherwise these Terms apply equally to the website and to every bot operating on SPACEWHLE's behalf. By using the Service, you agree to these Terms. If you do not agree, you should not use the Service.

1. About the Service

The Service is intended to support management and organisation within the SPACEWHLE community. Depending on permissions, server configuration, and which part of the Service you use, it may:

• track member activity and participation;
• record event attendance and related participation data, including voice-channel presence during scheduled events;
• log, display, and manage member ranks or roles;
• assist with adding, removing, or managing members;
• verify and link a member's Star Citizen (RSI) account to their Discord account;
• let members create and RSVP to community events;
• let members post and browse listings in the member-to-member in-game item marketplace;
• track invites and attribute member referrals;
• provide content-management tools (such as the gallery editor) for authorised staff;
• provide administrative and dashboard tools for community management.

The marketplace feature connects members who wish to trade in-game items or currency with each other. SPACEWHLE is not a party to any trade arranged through the marketplace and does not hold funds, items, or other consideration in escrow. Disputes are between the members involved; see Section 9 (Limitation of Liability) for how this affects our responsibility for the outcome of a trade.

2. Eligibility and Use

You may only use the Service if you are permitted to do so by the relevant Discord server, its administrators, and applicable law. You are responsible for ensuring that your use of the Service complies with Discord’s Terms of Service, Community Guidelines, and all rules of the server in which the Service operates.

3. Administrator Responsibility

Server owners, administrators, moderators, or any person granted access to the Service are responsible for how they use it. This includes responsibility for:

• configuring the bots and dashboard appropriately;
• granting permissions only to trusted individuals;
• ensuring members are informed where appropriate that activity and participation may be tracked;
• using data fairly, lawfully, and in accordance with server rules.

4. Acceptable Use

You agree not to use the Service to:

• violate any applicable law or regulation;
• harass, abuse, or unfairly target other users;
• attempt unauthorised access to the Service, its systems, or stored data;
• reverse engineer, disrupt, overload, or interfere with the Service;
• use the Service in breach of Discord’s rules or policies;
• submit false, misleading, or malicious information through the Service.

5. Permissions and Actions

The Service may perform actions within a Discord server based on the permissions granted to it, including role management or member-related administrative actions. By using the Service, you acknowledge that these actions may affect server records, ranks, participation logs, and access to certain features.

It is the responsibility of server administrators to ensure each bot is only granted permissions that are appropriate for their intended use.

6. Data Accuracy

While the Service aims to provide useful tracking and administrative functionality, no guarantee is made that all logs, activity records, event records, rank records, or other outputs will always be complete, accurate, or error-free.

The Service may be affected by Discord API limitations, outages, permission changes, network failures, software bugs, or missing data.

7. Service Availability

The Service is provided on an "as is" and "as available" basis. We do not guarantee uninterrupted availability, uptime, continued feature support, or that the Service will always function without errors.

Features may be modified, suspended, restricted, or removed at any time without prior notice.

8. No Warranty

To the fullest extent permitted by law, the Service is provided without warranties of any kind, whether express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, non-infringement, accuracy, or reliability.

9. Limitation of Liability

To the fullest extent permitted by law, the owners, developers, operators, and maintainers of the Service shall not be liable for any indirect, incidental, consequential, special, or punitive damages, or for any loss of data, loss of access, loss of reputation, loss of server records, or other damages arising from or related to the use of, or inability to use, the Service.

This includes, without limitation, issues arising from role changes, logging errors, member management actions, event tracking inaccuracies, outages, or unauthorised access resulting from server-side permission choices or account compromise.

10. Indemnity

You agree to indemnify and hold harmless the owners, developers, operators, and maintainers of the Service from and against any claims, liabilities, damages, losses, or expenses arising out of:

• your use of the Service;
• your breach of these Terms;
• your violation of any law, regulation, or third-party rights;
• your misuse of tracked data, member data, or administrative functions.

11. Third-Party Services

The Service relies on third-party platforms and services, including Discord and our authentication, hosting, and infrastructure providers. We are not responsible for the availability, behaviour, security, or policies of those third-party services. Your use of Discord and related services remains subject to their own terms and policies.

12. Termination or Restriction

Access to the Service may be suspended, restricted, or terminated at any time, with or without notice, for any reason including misuse, abuse, security concerns, policy breaches, or operational decisions.

13. Changes to These Terms

These Terms may be updated from time to time. Continued use of the Service after changes are made constitutes acceptance of the revised Terms. The latest version is available at: https://spacewhle.org/terms.html

15. Governing Principles
